How I Used a VA For My Launch

May 01, 2019

Just the other day I was interviewed on Chelsea Foster’s podcast, Burnout-Proof Your Biz.

During our chat, Chelsea asked me, “How did you use your virtual assistant (VA) during your most recent launch?” I shared the specifics of what I had my VA do and I thought you might benefit from hearing this, too.

I get many questions about outsourcing and using VAs.

You probably already know that you won’t be able to scale your business and continue to reach a larger audience if you are doing it all by yourself. That is why a large part of the Organized Influencer Academy focuses on the What, Why, and How of outsourcing.

We recently reopened enrollment to the Smarter Not Harder: 3-Day Workweeks for Millennial Entrepreneurs© program - woohoo! To say there were a lot of moving parts involved in the process would be the understatement of the year.

During our launch, I used a VA to help me with launch-specific items.

I didn’t want to pull our team away from the daily tasks we already have to do, so I brought her on as extra help for the two week period. It was also very helpful to have someone providing feedback that is outside of my bubble. Sometimes I get so wrapped up in organization, systems, and tools that I start talking in jargon. Avoiding jargon-speak is something I’m constantly working on!

I told my VA that I needed her for a minimum of 10 hours. I gave her timelines and had her check in regularly. Then I assigned her tasks one at a time.

Here’s what I had her do:

  • Proofread emails, website pages, PowerPoint slides, Canva graphics, etc.
  • Give feedback on any copy she read - if it didn’t make sense to her, she said so and made suggestions for an alternative word or phrase.
  • Take several stacks of business cards, put their contact info into an excel sheet, and upload them with tags to my customer relationship management (CRM) system, Dubsado (affiliate link with discount, or use code ORGANIZEDINFLUENCER at checkout).

Twelve hours later, it was the best money I ever spent.

Ok, that might be a bit dramatic, but it saved me SO much time. Yes, I could have done those tasks myself but instead, I spent those hours on more high-level tasks, like connecting with awesome people like you to answer your questions. I highly suggest using a VA whenever you’re pressed for time or something has been sitting on your to-do list forever. Try it out and send me a DM on Instagram to let me know how it goes!

Always cheering you on,

Kate
